Welcome to the Cooperative Credit Union Web Application. This system streamlines operations from member registration and loan management to auditing and reporting. The manual provides role-based guidance with unique permissions to ensure integrity, security, and accountability.
2. User Roles & Permissions
Members with roles are added to the Administrators Group when created in the system.
- Admin: Member Management
- ITAdmin: System Configuration
- Manager: Opening Balances & Reports
- Audit: Audit Trail
- Accountant: Contributions, Loans, Withdrawals, Investments
- ApproveWithdrawals: Approve withdrawal requests
- ApproveLoans: Approve loan applications
3. Membership Type Policies
Membership types define rules for members:
- Loan limits & qualification periods
- Contribution minimums
- Withdrawal limits & fees
- Interest & processing fees
- Early repayment rules
- Automatic registration fees
4. General System Usage
- Login with your credentials
- Navigate using menu (role-based)
- Perform your assigned tasks
- System enforces cooperative rules automatically
- Always logout after use

- Verify accuracy before saving

1. Who Can Access
Admins: Full access. Others: view-only.
2. Add a New Member
- Navigate to Administration โ Member Management โ Add Member
- Enter personal info, addresses, membership type, and beneficiaries/signatories
- Click Save. Registration fee will be flagged if unpaid.
3. Edit Member
Search member โ Edit โ Update details โ Save.
4. View Member List
Shows member details, fee status, and actions (View/Edit/Manage).
5. Upload Members in Bulk
Upload Excel with Individual/Corporate sheets โ progress bar โ review success/fail counts.
1. Access
Members โ apply; Approvers โ approve; Accountants โ disburse/record; Managers/Auditors โ view.
2. Apply for Loan
Navigate to Member Services โ Loan Applications โ Apply โ complete form with guarantors and fee options โ Submit.
3. Track Loan Status
My Applications โ View status, repayment schedule, guarantors.
4. Approve Loans
Pending List โ Review details โ Approve with remarks.
5. Disburse Loan
Disburse Loans โ enter date, payment account, confirm fees โ Confirm.
6. Repay Loan
Repay Loan โ Select loan โ enter amount, method โ Confirm repayment.
7. Guarantor Recovery
If default: system splits recovery across guarantors.
1. Access
Members โ request; Approvers โ approve; Accountants โ pay; Admins โ request on behalf; Auditors โ read-only.
2. Apply
Enter withdrawal amount/type โ Submit โ Pending until approved.
3. Edit Request
Members/Admins can update pending requests.
4. Track Requests
Applications list with filters, status, actions (Edit/Approve/Pay/Receipt).
5. Approve Request
Review request โ Approve with remarks โ Moves to Payment stage.
6. Process Payment
Accountants select approved request โ process with fees โ Confirm โ Receipt generated.
7. Print Receipt
Locate paid withdrawal โ Receipt ๐งพ.
4.1 Making Contributions (Member View)
Members can view their payments, print receipts, and check balances.
4.2 Receiving Contributions (Admin/Accountant)
Search member โ Enter amount/date โ System validates minimum โ Save.
4.3 Contribution Reports
Admins/Executives generate payment reports, print receipts, and upload opening balances with Excel.
